This video aims to provide an overview of the scheduler to help you create your first schedules in Agendrix. In this tutorial, we will focus on the “Week view” of the scheduler.
Let’s start with the basics: Creating a new work shift.
Start by clicking in the desired cell.
In the list, select the employee’s position for that shift.
In the fields with the clock icons, enter the start and end time for the shift. You can also enter these manually with your keyboard.
As needed, you can also add notes and breaks.
In the bottom section of the window, you can see where the work shift stands in comparison to the employee’s weekly availability.
If this particular work shift is often the same for the employee, you can also use the “Recurrence” tab to automate scheduling.
Click “Save” to add the work shift to the schedule.
To move a work shift, left-click and hold to pick up the shift, move your mouse cursor over to another cell, then release the button to drop the shift down to this new location.
The “Select” mode helps you create and edit shifts faster.
This mode lets you select one or multiple shifts, one or multiple employee’s shifts, the shifts for one or more days, and even every shift in the schedule. Any action you then take will apply to every shift selected this way.
For example, let’s select Julia’s first shift. Several actions are then possible.
The “Edit” button lets you edit the selected shifts in many ways. Among other things, you can move Julia’s shifts or modify their length.
The “Copy” button lets you create exact copies of the selected shifts and assign them to other employees. When you’re about to copy a work shift, the impact of this action on the work hours of the employees concerned is displayed in the scheduler to facilitate decision making.
The “Transfer” button lets you transfer the selected shifts from one employee to another. The impact of a shift transfer on the work hours of the employees concerned is also displayed in the scheduler.
The “Delete” button deletes the selected shifts, removing them from the schedule.
The “Publish” button approves the shifts and notifies the employees concerned of any changes made.
When you publish or delete a shift, notifications are sent out instantly to those concerned.
The “Copy” button lets you copy the week’s schedule over to one or more other weeks.
There are many ways of filtering the information shown in the schedule.
Position filters sort the information based on employee positions. To view the schedule for employees in a specific position, check the box next to the relevant position.
Other filtering options let you view the information in a number of other ways. You can use them to group employees by position and display budgets, among other things.
The “Filter employees” field, located above the employee list, lets you view the schedule based on the name you enter.
The “More” button provides additional options in the scheduler, depending on your access rights. Notably, you can:
Access the activity log to see all changes made to the schedule.
Create multiple time offs at once.
Generate a virtual schedule for those who do not have access to Agendrix.
And manage the budget for the week’s schedule.
Lastly, you can print out the schedule in a customized way.
